Is there any value in just scanning our invoices and not capturing any data ? (top)

Yes, just by the mere fact that the paper has been converted to electronic document; it becomes more easy to file, share and retrieve across the enterprise. However, OCRing or capturing some data from the document facilitates automatic indexing and renders it more readily accessible and more valuable.

What type of productivity can one expect through scanning and data capture of invoices ? (top)

Productivity improvements can vary from 20% to 60% depending on your current processes and actual volume of AP invoices processed. In high volume environments it is possible to easily exceed 60% with extra fine-tuning. Part of the productivity is as result of streamlining the process through the elimination of paper handling the other is relating to automating the data-entry process.

What business systems can eXtractoflex work with ? (top)

eXtractoflex has been designed to work with all business system that supports external transactions (e.g. EDI) and enable access to validation data such as supplier information and purchase order data.

What processes can be streamlined or eliminated through AP automation ? (top)

There are many but the most time consuming are the physical routing and copying of documents, filing documents, retrieving documents, comparing PO with invoices and manual keying of AP data.

What type of documents can eXtractoflex work with ? (top)

It can work with any document that looks like a structured or semi-structured form. A structured form is one where the information is located at the same identical spot every time (e.g.a questionnaire). A semi-structured form is one where the location of values can vary each time (e.g. vendor invoices; client purchase orders). The documents can be multi-paged paper, multi-paged faxes and PDFs.

How do you do deal with poor printed quality paper invoices ? (top)

The most important tool to counter a poor quality print paper is a super quality scanner combined with some very intelligent image processing software. When you are doing OCR on a document you need to do the best to digitize the document and software enhance the image. We typically recommend Fujitsu scanners because of their quality and price performance. eXtractoflex has a built-in image enhancement software.

Will eXtractoflex work with other scanners or prescanned images ? (top)

Yes ! It will work with any images however it is important they are of ultimate quality to best insure satisfactory OCR results if automated capture is a required.

Does eXtractoflex need templates to work ? (top)

No ! In general regardless of technology, the best results are achieved when templates are employed.

Is it difficult to create a template with eXtractoflex ? (top)

No, it just take minutes and can be done by a user with minimal training.

How does document archival and retrieval work with eXtractoflex ? (top)

It can use electronically or manually keyed metadata entered via eXadox or OCRed and automated capture data as a means of filing and indexing. The information can be passed to a document management sytem or a business system that ties the data to a filename and path. The retrieval is done using the same data.

How does eXadox work with eXtractoflex ? (top)

eXadox is complementary software that enables a user to key in metadata relating to an electronic document. It shares the information with eXtractoflex and facilitate precision searches using both the metadata and the data eXtractoflex OCRed and captured.
